We're looking for an Office Manager who thrives in this environment — someone who already speaks the language of HEDIS, Medicare Advantage plans, and patient quality metrics, and who's ready to bring that expertise to one of our growing VIPcare clinic locations.
Ideal background: You've worked in a Medicare Advantage primary care or value-based care setting. You understand what it means to manage a patient panel, not just a schedule. You've seen how proactive outreach, care coordination, and closing quality gaps actually improve lives — and you want to lead a team that does exactly that every day.
What you'll do:
- As Office Manager, you're the operational heart of the clinic. You'll lead a care team of Medical Assistants and/or Receptionists, partner closely with Physicians and APPs, and take ownership of the clinic's performance and patient experience.
- Drive clinic performance across key value-based care metrics — including HEDIS, ER utilization, admission management, and patients not seen
- Lead daily huddles and coordinate proactive outreach efforts to close care gaps and keep patients engaged
- Manage your team day-to-day: scheduling, payroll, PTO, performance, and professional growth
- Partner with providers to ensure every patient receives high-quality, coordinated care
- Oversee front- and back-office operations to keep everything running accurately and efficiently
- Serve as the go-to resource for onboarding, training, and upholding Better Health Group / VIPcare standards
- Ensure compliance with Medicare Advantage plans, HIPAA, and all applicable labor laws
- Assist providers with credentialing, hospital portal access, licensure, and memberships
- Manage the accuracy of records, referrals, supplies, invoices, and medication workflows
- Bring new ideas to leadership — this role has a real voice in shaping clinic policies and workflows
- Assist with clinical duties as needed: vital signs, injections, blood draws, medication management, wound care, and supporting physicians during procedures
What we're looking for:
- 4+ years of Medical Assistant experience preferred
- 1+ years of experience in a leadership role, preferred
- Bachelor's Degree in healthcare administration or related field preferred (not required)
- Certified Medical Assistant preferred
- CPR certification preferred
- Primary care and/or Medicare Advantage background is a strong plus
- Comfortable performing clinical duties: vital signs, injections, blood draws, wound care, medication dispensing, and assisting with procedures, preferred
- Working knowledge of medical coding, HIPAA, OSHA/biohazard guidelines, and electronic medical records
- Proficient with Google Suite
- A natural team motivator who leads with energy, holds commitments, and brings calm, solutions-focused thinking to a busy clinical environment
- Strong oral and written communication skills — comfortable with providers, health plans, vendors, and patients alike
- Excellent organizational and multitasking skills with sharp attention to detail
- Culturally sensitive with a genuine appreciation for the geriatric patient population

Physical requirements: This is an active clinic role. You'll be on your feet throughout the day, assisting with patient care, and working across both the front and back office.
- Must be able to lift up to 15 lbs and assist with patient transfers as needed
- Corrected vision and hearing to normal range required
- Reliable personal transportation required
